Weekly check-in
All 4 sessions done, bench press +2.5 kg. Nutrition 7/10, cravings in the evening. Sleeping better since phone break. Question: more carbs on training days?
Support between sessions eats up hours nobody pays for. Summarize. One turns your clients’ voice messages into short bullet points – right in WhatsApp, no new app for you or them.
Good coaching doesn’t just happen in the session but in between – and that part grows with every new client.
Reading check-ins, listening to voice messages, answering questions: what was meant as quick support adds up over the week to a second job.
Not because demand is lacking, but because support per client takes too much time. The limit of your revenue is the length of your evenings.
Clients message whenever it suits them – after training, before bed, on Sunday. Without clear rules, the line between work and free time blurs.
Regular check-ins are the heart of good coaching: they show you early where a client is stuck, keep motivation high and make progress visible. To keep them from swallowing you whole, they need two things – a fixed structure and clear ground rules.
Ten short messages spread over the week cost you more time than one complete check-in, because you have to get back into context every time. So agree on a fixed day – Sunday, for example – and always the same questions. Your clients can reply in writing or go through the points in a voice message; many find that much easier than typing.
Weekly check-in – week … Please send by Sunday evening, voice messages welcome: 1. Training How many sessions did you complete? What went well, what didn’t? 2. Nutrition How well did you stick to your plan (1–10)? Where was it hard? 3. Sleep and energy How many hours on average? How was your energy during the day? 4. Wins What are you proud of this week – no matter how small? 5. Problems What held you back? Pain, stress, lack of time? 6. Questions What should I look into before next week?
Adapt the points to your offer: in business or life coaching, for example, “Goals for the week” and “What did I put into practice?” replace training and nutrition. What matters is that the structure stays the same every week – so you spot changes at a glance.
Clients value reliability more than constant availability. Decide on these and communicate them during onboarding:
For one week, track what you actually spend your support time on. Usually it’s not the replying itself but the taking in: reading long messages, listening to voice messages, piecing the info together. That’s where you can save the most – without your coaching getting worse. Your expert feedback stays personal; only the path to it gets shorter.
Three levers that give almost every coach time back:
Important: scaling doesn’t mean getting less personal. Clients notice whether you really read their check-in. A concrete reference to their week – “Great that you got in three sessions despite your business trip” – does more than any long message.
Forward your client’s check-in to the Summarize. One bot and see right away where things are stuck. Record your thoughts on the reply directly in the bot chat – and get them back as bullet points for your feedback.
All 4 sessions done, bench press +2.5 kg. Nutrition 7/10, cravings in the evening. Sleeping better since phone break. Question: more carbs on training days?
Praise for consistency. Training days: test +50 g carbs around training. Against cravings: more protein at dinner. Next week increase weights on rows.
Two weeks on vacation, hotel with a small gym (dumbbells up to 10 kg). Asks for an adapted plan and tips for eating at a buffet hotel.
One tap is all it takes – the chat opens with the message ready.
Or record a memo right in the chat.
In seconds – short, medium or as bullet points.
Specialized software rarely fails because of missing features – it fails because the team doesn’t use it. Summarize. One runs where everyone already is: in WhatsApp.
Everyone on your team already has WhatsApp. Just say “Hello” to the bot – no account, no password.
Your workflows and your software stay exactly as they are. Summarize. One just makes sure information from WhatsApp gets where it needs to go faster.
If you can forward a voice message, you can use Summarize.One. Short, medium or bullet points – or word for word if you like.
We never store voice messages or summaries – they are only processed and deleted right afterwards. We don’t analyze any content. Communication is encrypted, and what the service needs is stored on servers in the EU.
Summarize. One doesn’t store anything – but whether WhatsApp is the right channel for your content is still your company’s call. Our guide explains what to keep in mind.

No, and it isn’t meant to. If you use a platform for training plans or tracking, keep it. Summarize. One takes care of the part that ends up in WhatsApp anyway: your clients’ voice messages.
No. Your clients send you their check-ins on WhatsApp as usual. Only you forward them to the bot – nothing changes for your clients. Still, tell them you have their messages summarized by a service; that’s part of handling their data fairly.
